School Fee Receipt Template
A school fee receipt is issued to a parent or guardian as proof of payment whenever school fees or any other school charge is collected. It is a legal document — parents may need it for tax purposes, employer reimbursement, or scholarship applications. A properly formatted receipt protects the school from fee disputes and demonstrates financial transparency.
When to use: Issue a receipt for every payment received, regardless of amount or payment method. Never accept cash or mobile money without issuing a corresponding receipt.

Always include the outstanding balance on the receipt — parents then know exactly what remains to be paid without needing to contact the office, reducing enquiries.
Use pre-numbered receipt books if issuing manual receipts, and ensure the carbon copy is filed. Never let a receipt number be skipped or reused.
Mobile money payments should always include the transaction reference number. This is the only way to resolve disputes if a parent claims payment was made but it doesn't appear in the school's records.
