Automating Student Attendance Tracking
Transform daily attendance from a passive record-keeping exercise into an active student welfare and accountability system
The Problem
Paper attendance registers do not generate any action. A student can be absent 30 times in a term and the register faithfully records each absence — but without a digital system, no parent is alerted in real time, no administrator sees the cumulative pattern early enough to intervene, and no report can be generated for the school board without manually counting register entries. The information is captured but never activated.
The Solution
RedeemOS turns attendance recording into an active workflow. The moment a teacher marks a student absent, the parent receives an SMS. At the end of each week, the academic head can see a class-level attendance heatmap showing which days and which classes have the lowest attendance. At the end of term, the report card includes the student's attendance percentage automatically. Students approaching the minimum attendance threshold for examination eligibility are flagged automatically. The attendance data that previously sat inert in a paper book now drives real-time communication, analytical insight, and administrative action.
Implementation Steps
- 1
Configure the class roster in RedeemOS
Ensure all students are enrolled and assigned to their correct class in the Student Information System. The attendance module draws its class lists from the SIS automatically.
- 2
Train teachers on the digital roll call interface
Show each class teacher or subject teacher how to access their class list and mark attendance from a smartphone or computer. A typical training session takes 15–20 minutes per teacher.
- 3
Set up parent absence alert templates
Configure the SMS template for the absence alert in the Communication settings. The template auto-fills the student's name, date, and class from the attendance event data.
- 4
Define the minimum attendance threshold
Configure the minimum attendance percentage required for examination eligibility in the Examinations module. The system will automatically flag students who fall below this threshold.
- 5
Run the first term with digital attendance
During the first term, teachers take attendance digitally daily. Monitor compliance using the Teacher Workspace completion dashboard, which shows which teachers have submitted attendance and which have not for each day.
- 6
Review the term attendance analytics
At the end of the term, review the attendance analytics dashboard for class-level and student-level absenteeism patterns. Use this data to inform parent meetings, academic interventions, and staffing decisions.
Expected Outcomes
Parents alerted within minutes of their child's absence — not at the end of the school day or term
Academic heads see class-level and individual attendance rates in real time, not from a manual register count
Students at risk of examination exclusion due to low attendance are identified mid-term, not at term end
Attendance data appears automatically on report cards without any additional staff data entry
Cumulative attendance records for every student from enrolment onwards are searchable and exportable
